Administrative procedures

Which courses should I enrol for?

Enroling for lower level courses during the first year of your studies will certainly help you to build your confidence and to develop essential study skills in preparing to undertake the basic and core major courses or middle level courses in the future. If you are undertaking a programme, we strongly recommend you to adopt the study plan we have designed for the whole duration of your studies. This will serve as the main guideline for course re-enrolment and study progression in Wawasan Open. The University will accommodate as many students as possible for any course. Please adhere to the deadline of the application and course enrolment to facilitate the smooth arrangement of tutorial services and distribution of course materials. 

Prerequisites are courses that you need to have before pursuing a particular course. A prerequisite prevents you from taking courses in which you are unlikely to succeed without the proper prior knowledge. 

The maximum course load permitted by the University is a maximum of four courses enroled in an 18-week semester. Please note that to study for a course with 3 credit hours in a semester, your self-study load per week required would be an average of 6-7 hours apart from attending the tutorial sessions.

Adding courses

To add a course, you can apply using the Application for Adding of Course(s) form (R-AC) by the first  tutorial of the semester (week 1). For any additional course(s), the tuition fees will depend on the credit hours as well as the level of the course.

Dropping courses

Students can apply through the Application for Dropping of Course(s) form (R-DC). The last day to drop course(s) is by the third  tutorial of the semester (week 9). After the third tutorial, you cannot drop a course, but you may be able to apply for withdrawal from a course.

Course(s) officially dropped by the third tutorial will not be recorded on the student's permanent academic record. However, a grade of "W" (Withdrawn) will be recorded for courses in which you are officially granted withdrawal after the third tutorial. If you do not undertake the final examination for courses you fail to withdraw, you will receive a grade "F" (Fail) for that particular course.

Withdrawing from courses

You will need to fill up the Application for Course Withdrawal form (R-WC) if you would want to withdraw from a course. A withdrawal process is undertaken should you miss the drop course deadline and are unable to proceed with the final course exam. By applying for withdrawal of course, the course will still appear in your transcript but with a ‘W” grade (withdrawal with permission).

All withdrawal from a course after the 16th week of the semester must obtain the approval of the Dean of School and are allowed only for "serious and compelling reasons" (usually illness, change in employment schedule, etc). The University's date stamp constitutes the date of withdrawal.

Deferring your studies

Students, who have completed certain courses and wish to defer your studies, may apply for deferment using the Application for Deferment of Studies form (R-DS) by the fourth tutorial of the semester (week 13). This will ensure the eligibility of enroling for new courses in future semesters. In the interim, the status will be maintained as an inactive student of the University which will lapse after a period of four semesters of inactivity. 

If you wish to defer your studies to a later semester(s), you should continue you're your studies until formal approval is obtained from the University.

Medical reasons or special circumstances are the usual acceptable reasons for deferment. Documentary evidence must be provided with the completed form for processing.

Withdrawing from the University

Students who intend to discontinue their programme of study at the University for physical, emotional, financial, family, health or other non-academic reasons may apply for withdrawal from the University using the Application for Withdrawal from the University form (R-WU). They are required to settle all financial obligations with the University and return all University property.

Issuing the student card

A student card will be issued upon the settlement of all relevant fees. All students are strongly advised to carry along their student card in order to access the facilities available at the Regional Offices.

New students who do not receive their student card within the first two weeks after the commencement of the semester, must inform the staff at their Regional Office immediately for requisition of the card.

A student card will be issued only once at the point of admission. If you have lost or damaged your student card, you are to report to your Regional Office immediately for a replacement. Replacements can be done through filling in the Application for Replacement of Student Identity Card form (R-ID). An administrative fee will be levied.

Updating your personal particulars

Should there be any updates to your personal particulars, you are required to do so as soon as possible via your Regional Office using the Amendment of Personal Particulars form(R-PP).

You can view your current particulars via the access to the student portal.

Changing your regional office

If you intend to change your regional office, you will need to fill up the Application for Change of Regional Office form (R-RO).

Changing your programme of studies

If you intend to change your programme of studies, you will need to complete the Application for Change in Programme of Studies form (R-CP).

All forms are obtainable from the Regional Offices or Registry at headquarters. Completed forms should be submitted to the Registry through your Regional Offices. Telephone, e-mail or fax requests are not accepted. Your application status will be notified within a week from the date of receipt.
